In partnership with

A few months ago, I met with a business owner here in Champaign who was convinced something was wrong.

Sales were steady.

Customers were paying.

The P&L looked fine.

But every month ended the same way:

"If I'm making money, why does my bank account feel empty?"

Sound familiar?

Maybe you've experienced some version of this yourself.

You glance at your bank balance and feel nervous.

Then you look at your bookkeeping and it says you're profitable.

Then tax season rolls around and somehow you're scrambling for receipts again.

It's a frustrating place to be.

And it reminds me of three of the most popular topics I've written about:

The Shoebox is Not a System
Does Your P&L Say You're Fine But Your Bank Account Disagrees?
The Moment I Knew My Spreadsheet Had to Go

Different stories.

Same underlying problem:

Most small business owners don't have a simple weekly process for managing cash.

The good news?

You don't need more software.

You don't need a finance degree.

You don't need to spend hours every week.

You just need one repeatable habit.

The 30-Minute Monday Money Check

Set aside 30 minutes every Monday morning.

Before checking email.

Before returning calls.

Before putting out fires.

1. Check Your Cash Balance

How much money is actually available?

Not projected.

Not expected.

Not "once that invoice gets paid."

What's in the account today?

Write it down.

2. Review Outstanding Invoices

Who owes you money?

Which invoices are over 15 days old?

Which ones need a reminder?

Many owners spend hours looking for ways to grow revenue while thousands of dollars are sitting in unpaid invoices.

3. Capture Last Week's Expenses

Snap photos.

Upload receipts.

Categorize transactions.

Whatever system you use, get caught up weekly.

Future-you at tax time will be grateful.

4. Set Aside Tax Money

Even if it's a small amount.

A dedicated tax savings account can prevent a lot of stress when estimated payments or tax season arrive.

5. Review Next 30 Days of Expenses

Payroll.

Rent.

Software subscriptions.

Loan payments.

Seasonal expenses.

Knowing what's coming is often more valuable than knowing what happened.

Especially in a town like Champaign where business activity can ebb and flow around university schedules, student traffic, and seasonal demand.

Card or ACH on File Setup

Subject: Easier Payments Going Forward

Hi [Name],

To make future payments easier and avoid missed invoices, I'd like to set up a card or ACH payment method on file.

This allows invoices to be paid quickly and helps keep projects moving smoothly.

Let me know what works best for you.

Thank you,

Three Numbers to Track Every Week

You don't need a giant dashboard.

Track these three numbers.

1. Cash Runway

Formula: Cash Available ÷ Average Weekly Expenses

This tells you how many weeks your business can operate if revenue stopped tomorrow.

It helps you make better spending decisions and avoid surprises.

2. Owner's Pay

How much did you actually pay yourself?

Many Schedule C owners focus on revenue and ignore this number.

Tracking it helps determine whether the business is truly supporting your goals.

3. Days-to-Collect

How long does it take customers to pay?

The longer it takes to collect, the more pressure it puts on cash flow.

It can also create tax headaches because you may owe tax on income long before cash feels available.

Small Habits Create Big Clarity

Most business owners don't need complicated systems.

They need visibility.

Thirty minutes per week won't solve every problem.

But it can dramatically improve your understanding of where money is going, what taxes may be coming, and whether your business is actually creating the financial freedom you hoped it would.

That's the work I do every day with Schedule C business owners throughout Champaign and Central Illinois.

Helping owners simplify their money systems, reduce tax-time surprises, and make better decisions with clearer information.

Not by adding complexity.

By removing it.
